Privacy policy
Last updated 30 October 2026
This policy explains what personal data Headland Yachting Limited (“Headland Yachting”, “we”, “us”) collects when you use headlandyachting.com, enquire about a charter or book one through us, why we use it, who we share it with and your rights. We follow the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
Headland Yachting Limited is the data controller for the personal data described here. We’re registered in England and Wales, company number 17532233, with our registered office at 128 City Road, London, EC1V 2NX. You can contact us about your data at hello@headlandyachting.com.
What we collect
When you enquire. Your name, email address and phone number; your preferred dates and how flexible they are; the number of adults and children in your party; the kind of charter, yacht and destination you have in mind; your rough budget; and anything else you tell us, such as celebrations, children’s ages or sailing experience.
Information about health or accessibility. If you tell us about food allergies, dietary needs, medical conditions or accessibility needs, we’ll use it only to find suitable yachts and to pass it to the crew who need it to look after you safely. Because this can be health information, we ask for your explicit consent when you share it, and you can withdraw that consent at any time.
When you book. The details the yacht’s owner, central agent or charter company need for the contract and for immigration and customs: usually the full names, dates of birth, nationalities and passport details of everyone in the party, and, for a bareboat charter, the skipper’s sailing experience and qualifications. Payments are made under the charter contract; we don’t take card payments on this website.
When you use the website. How the site is used, as described under Analytics below. Site search and your light or dark mode choice stay on your device. Details are in our cookie policy.
Why we use it, and our lawful basis
- To answer your enquiry and find yachts for you: our legitimate interests in responding to a request you started, and taking steps at your request before a contract.
- To arrange and look after your charter: performing the contract, or taking steps towards it.
- Health and accessibility information: your explicit consent.
- To keep records the law requires, such as accounting and tax records: legal obligation.
- To tell you about yachts, offers and news by email: only if you’ve agreed, and you can unsubscribe at any time.
We don’t sell your data, and we don’t make decisions about you by automated means.
Analytics
We use Umami to see which pages are read and how visitors find the site: pages visited, the general location and type of device, and the site you came from. Umami doesn’t use cookies, doesn’t store anything on your device, doesn’t keep your full IP address and can’t follow you to other sites, so it can’t build a profile of you. Our lawful basis is legitimate interests: improving the site.
Who we share it with
To arrange a charter we need to share some of your details with:
- The yacht’s central agent, owner, manager or charter company, to check availability, hold dates and prepare the charter contract.
- The captain and crew, so they can plan your charter and cater for you safely, including any dietary or accessibility needs you’ve shared.
- Authorities in the destination, through the yacht’s crew or charter base, for immigration and customs clearance.
We also use service providers who handle data for us under contract: Formspree (website forms), our email provider, our web host and the analytics described above.
Transfers outside the UK
Most yachts we arrange are in the British Virgin Islands, the US Virgin Islands and elsewhere in the Caribbean, and central agents and charter companies may be based in the United States, the Caribbean or Europe. Sharing your details with them means your data leaves the UK. Where the UK hasn’t recognised a country’s data protection as adequate, we use appropriate safeguards, such as the UK International Data Transfer Agreement, or rely on the transfer being necessary to arrange the charter you’ve asked for.
How long we keep it
- Enquiries that don’t lead to a booking: up to 24 months after our last contact, so we can pick up where we left off if you return.
- Bookings: for six years after the end of the charter, to meet accounting, tax and legal requirements.
- Health and accessibility information: deleted once your charter has finished, unless you ask us to keep it for a future charter.
- Marketing preferences: until you unsubscribe, after which we keep a note so we don’t contact you again.
Your rights
You can ask to see the personal data we hold about you, have it corrected or deleted, restrict or object to how we use it, receive a copy in a portable format, and withdraw consent at any time. Email hello@headlandyachting.com and we’ll reply within one month. We may need to confirm your identity first.
If you’re unhappy with how we’ve handled your data, please tell us so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes to this policy
We’ll update this policy when the way we use data changes. The date at the top shows the last update.
